What is an affiliation agreement and how long does it take?

An affiliation agreement sets the terms for your placement: liability and insurance coverage, confidentiality, intellectual property, supervision responsibilities, and how problems will be handled. In most programs, both your university and the host organization must sign it before you can officially begin. It protects everyone involved, including you.

How long to expect

If your site has hosted students from your program before, a standing agreement may already exist, and this step can be quick. A brand-new agreement is different. It often takes four to twelve weeks, and it can take longer when legal teams on either side negotiate terms. Delays usually come from legal review backlogs, disagreements over insurance or intellectual property clauses, or a document sitting in someone's inbox.

How to keep it moving

• Ask on the day you get your offer. Contact your practicum coordinator and find out whether an agreement already exists.
• Get the template out early. For a new site, ask your university for its standard template so the organization can start reviewing it.
• Act as the communication hub. Share contact information, confirm who signs and in what order, and check on the status politely every week or so.
• Stay courteous. The administrators handling your agreement may be future colleagues or references.

Can I start while I wait?

In most programs, hours completed before the agreement is signed don't count, so plan your start date around the signature. Always confirm with your program. You can still use the waiting time well. Read background materials, learn about the community the organization serves, and draft your learning objectives so you're ready to begin once it's signed.
